In this privacy policy references to “we” and “us” are to Cards for Bravery.

 

We know how important it is for you to understand how we use your data. This privacy policy explains how and why we collect, store, process and share your personal data. We will always be transparent about what we do with your personal data. This policy also tells you what your rights are in relation to the personal data you give to us.  By using our website and/or providing us with your personal details you are agreeing to our privacy policy. Please do keep checking our privacy policy as we may need to update it without contacting you beforehand.

We undertake regular reviews on how we capture and control your data to ensure that your information can only be accessed by trustees and volunteers of Cards for Bravery who have a genuine requirement to see that data

When and why do we hold and process personal data?

We will hold and process personal data for a number of reasons such as:

  • To fulfil charitable obligations i.e processing nomination forms

  • You have applied to volunteer for us

  • You have made a donation to us

  • You have signed up to receive our newsletter/communications from us

  • You are attending one of our events which requires you to provide personal information

We may also monitor customer traffic patterns and site usage to help us develop the design and layout of our website.

When will we get in touch?

When you give us your personal details, for example when you complete a nomination form or volunteer application, you may receive follow-up information from us directly relevant to this activity with Cards for Bravery. This might include the following circumstances: 

  • we need to inform you of the success or decline of your nomination or application

  • we need to contact you regarding your nomination or application

  • we wish to acknowledge your support 

  • we would like permission to share photographs or comments

We will only contact you if you have agreed to be contacted and have provided appropriate contact information.

Passing data on to other companies and third parties:

Cards for Bravery only shares information with a third-party organisation when it is necessary for the fulfilment of our transaction with you. We will never sell your data nor share it for any purpose that is not directly related to Cards for Bravery transactions with you. If, on the rare occasion, we may need to transfer data to a third party we will ensure that the organisation has a signed data processing agreement, ensuring that all data is looked after by them as carefully as we do.

We share information with HMRC only if supporters have completed our Gift Aid form so we can claim the Gift Aid against donations. We will also share data if we are required to do so by law.

 

How do we store your personal information?

We take great care to prevent the loss or misuse of any of the data we hold for our supporters.

We ensure that there are appropriate technical controls in place to protect your personal details. We undertake regular reviews on how we capture and control your data to ensure that your information is only accessible by authorised trustees and volunteers of Cards for Bravery who have a genuine requirement to see that data. 

 

Much of our communication with supporters is through email which is not a fully secured form of communication. We do everything within our powers to keep our systems protected as far as possible, but we are not able to offer any guarantees.

 

How can you change your personal details or ask us to no longer contact you?

If at any point you decide you do not want to be contacted by us, wish for your personal data to be removed or need to change your personal details please either email contact@cardsforbravery.com or enquire via our contact page found on our website. All data will be amended or removed from our systems within 30 working days.
